The University of Barcelona is implementing an electronic records management system for both new and existing procedures (continuum), while also maintaining the traditional paper-based archival system (life cycle) for procedures that have not yet been migrated to the digital environment.
Both systems rely on software applications and sources of information and data. The electronic records management system is designed to function “by design”—that is, when information, documentation, or records are created or received, they already include all the archival description (metadata) needed to contextualize and manage them from the outset. In contrast, the analog system generates traditional archival descriptions created by archivists.
The aim of this presentation is to show how we manage these sources of information and data, how they are curated to ensure authenticity, integrity, and reliability, and how they are used in dashboards that provide a unified and comprehensive view of the university’s records management system, regardless of the system that generated them.
